Choosing lighting equipment

Most modern conference room lighting control systems are LED-based. But there are still some venues that may use traditionally installed lighting rigs. Your kit should consist of a variety of types of lights used in events, including uplighters and spotlights. When combined by a lighting designer, these can transform even the blandest venue.

Think about where you want to put your key lighting points and which parts of the venue are most important in terms of atmosphere and lighting. You’ll need to work with your wider events team to understand where the action is taking place.

A site visit is recommended, so that you can get an idea of the size of the venue, where light fixings may need to go, what rules the venue has regarding use of fixings on the walls or ceilings, and to understand where the power points are.

Spotlights

Spot lighting is when the light is focused on a single point and is usually used to focus on a specific object or person. The key focus is usually the stage which needs to be lit correctly. Most venues have their own basic lighting systems, but in order to add a professional look and atmosphere ensure that all speakers are appropriately lit on stage with spots, and that the audience space is at lower light levels and therefore more ambient.

The plenary space should ideally be lit in colours that don’t draw attention away from any presentations taking place on stage.

Uplighting

This is a technique where lights are placed on the ground and aimed upwards to project light either onto a wall or at a specific object. They can be used very effectively in different colour combinations to give a real atmosphere to an event.

Uplighters can be main or battery-powered, removing any concerns about wiring or trip hazard issues. This means they can be used in areas that wouldn’t have near power or would have been considered dangerous with older wired fixtures. Even if nothing specific is being highlighted, up lighting can be used to create a wash of colour over an area that can be put to a number of decorative or creative uses.

Stage Washes

Lighting Effects

Planning lighting using your branding

Your lighting can easily reflect your corporate identity and brand guidelines as well as create dramatic announcements. Colour allows you to identify zones within the event space itself and is great for helping people find where they need to be. It’s much easier to ask an attendee to head over to the “Green Zone” for networking events than ask them to follow the signs.

There are lots of lighting effects out there so if you want to make the most of lighting at your corporate event, then lighting effects can really impress an audience.

A gobo is a type of stencil that gets placed over a light source. As the light passes through the gobo, the stencilled image gets projected onto whatever surface it’s pointed at. Gobos can be static or moving, or they can fade in and out.

If you are holding an evening event, then they can project light patterns onto the ceiling to create a magical feel in a room. Alternatively, for a more formal corporate event, you can simply take your logo and project it onto the walls of the venue. For more inventive lights shows you can use moving Gobos.
